What your system collects

NOTICE OF GPS VEHICLE TRACKING — EMPLOYEE ACKNOWLEDGMENT

Company: [Company Name]
Province: Ontario
Date: ____________________

Dear Team Member,

[Company Name] uses a GPS fleet tracking system in its company vehicles. This notice explains what the system collects, why we use it, and your rights — in line with Canadian privacy principles (PIPEDA).

WHAT IS COLLECTED
The system collects vehicle location, routes, and trip start/stop times; and engine and vehicle data read from the vehicle (such as speed, idling, fuel level, and diagnostic codes). Data is collected when company vehicles are in operation. Tracking is limited to company vehicles and is not used to monitor employees outside of vehicle use.

WHY WE COLLECT IT
We use this information for legitimate business purposes only: dispatching and routing, verifying service and hours for customers and payroll, driver and vehicle safety, fuel and maintenance management, and protecting company vehicles against theft or misuse.

WHO CAN SEE IT
Access is limited to authorized personnel (management and dispatch). Data is stored securely and retained only as long as needed for the purposes above. It is not sold or shared with third parties except as required by law.

WHAT IT IS NOT USED FOR
The system is not used to monitor you as an individual outside the operation of company vehicles, and personal devices are never tracked.

YOUR QUESTIONS
Questions or concerns about vehicle tracking can be raised with [Manager / HR Contact], who is responsible for how this data is handled.

ACKNOWLEDGMENT

I acknowledge that I have read and understood this notice, and I understand that company vehicles operated by me are equipped with GPS tracking as described above.

Transparency is the whole game

Canadian privacy regulators are consistently fine with tracking company vehicles for real business reasons — and consistently hard on employers who hide it. A one-page notice plus a signature protects you twice: it satisfies the transparency principle under PIPEDA, and it removes the “I didn’t know” dispute before it ever starts.

For the legal background, see our guide to employee GPS tracking law in Canada. And when you’re ready to roll tracking out, Always ON Tracking keeps the data side clean too: role-based access, audit logs, and Canadian-owned infrastructure.

Consent questions, answered

Generally yes — employers may track company-owned vehicles for legitimate business purposes (dispatch, safety, payroll verification, theft protection), provided they are transparent about it, limit collection to what is needed, and handle the data responsibly under PIPEDA or the applicable provincial law. Covert tracking of employees is where businesses get into trouble.

Best practice in Canada is both: give clear written notice of what is collected and why, and obtain a signed acknowledgment. In provinces with their own private-sector privacy laws (Quebec, BC, Alberta), transparency requirements are stricter — Quebec in particular expects documented purposes. When tracking is reasonable and disclosed, courts and privacy commissioners have consistently sided with employers.

Tracking a company vehicle 24/7 is common for theft protection, but continuing to collect location data while an employee is off the clock (especially with take-home vehicles) raises the privacy stakes. If you do it, say so explicitly in your notice — that is why the generator has a separate checkbox for it.

No. It is a plain-language starting template based on commonly accepted Canadian practices. Have a lawyer review your final policy — especially for Quebec, unionized workplaces, or take-home vehicle programs.

Transparent for your team, powerful for your operation.
